The role of the Watson Experience Center Event Specialist is to support the front of the house guest experience. The Event Specialist supports client facing environments and is the eyes and ears of each visit to all of the supporting departments and to be the point of contact for visiting clients and internal hosts to anticipate needs and to resolve any issues that may arise to help deliver a world class customer experience. This role is a blend of meetings management, logistics, and hospitality.
Key responsibilities include:
Preparation for upcoming visits, ensuring that catering orders are submitted with particular attention to any special needs to create an impactful and memorable experience.
Pre-register all visitors for security access and greet all incoming guests during this critical first impression touch point.
Support the Center Operations team to prepare for any meeting specific logistical needs.
Perform day of event checklists to ensure that the client experience center is show ready, and ready for the day’s events.
Oversee accurate delivery and presentation of catering,
Manage escalation of any technical or AV issues requiring immediate resolution.
Be the ‘face of the center’ greeting guests and accommodating any needs that arise.
Be prepared to support changes to the agenda and balance multiple simultaneous executive meetings at once, paying close attention to overlap of agenda times and use of common resources, such as café’s and demonstrations and immersive experiences.
Work with the Engagement Leaders, Catering, Facilities, Operations to manage on-the-fly agenda changes avoiding any conflicts with other events.
Maintain the center in a state of readiness for clients at all times.
Perform walk-throughs of the space for cleanliness, design, and functionality of the center.
Maintain an inventory of center supplies, meeting materials, and gifts.
Assist with measurement and reporting using the center scheduling tool, Power Point and Excel.
This is a highly visible role that must demonstrate sound business judgment and be able to function independently, as well as be comfortable with internal/external, high-level client exposure and interactions. To execute this role effectively the Event Specialist requires a high degree of situational awareness and must be professional, technically proficient, proactive, self-motivated, flexible, a team player, client focused and able to operate effectively in a fast paced environment. In this role, support is required on-site five days a week. The event specialist is expected to be on-site prior to the start of any events and to be visible and accessible to visitors and hosts throughout the duration of the event.
A bachelor’s degree in Event Management or Hospitality is desired.
Required Technical and Professional Expertise
- Bachelors Degree
- English: fluent
- At least one of the following:
- 6+ months of experience in briefing center program
- 6+ months of experience in sales operations role
- 6+ months of experience in project management
- 6+ months of experience in marketing or sales
Preferred Tech and Prof Experience
- Masters Degree
- 2+ years experience in briefing center program
- 2+ years in sales operations role
- 2+ years in project management
- 2+ years marketing or sales
